At Bizzy Day ("we," "our," or "us"), we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web application, marketing website, and related services (collectively, the "Services").

Bizzy Day is a two-sided marketplace connecting UK tradespeople with customers who need work done. Tradespeople create profiles and manage their availability; customers search for free without needing an account.

By using Bizzy Day you agree to the collection and use of information described in this policy. If you do not agree, please do not use our Services.

2. Information We Collect

2.1 Information You Provide (Tradespeople)

When you create a tradesperson account, we collect:

  • Account credentials — email address and password (or Google / Apple Sign-In tokens)
  • Profile details — name, trade type, location, postcode, bio
  • Contact details — phone number, contact email, website URL
  • External review links — your Checkatrade and Trustatrader profile URLs
  • Profile image — if you choose to upload one
  • Calendar & availability data — jobs, holidays, non-working days, and availability blocks you enter
  • Job information — customer names, addresses, contacts, dates, pricing, payment status, and notes
  • Financial documents — quotes, invoices, and line-item details you create
  • Material receipts — receipt images or PDFs and associated metadata (merchant, amount, date, category)
  • Calendar integration — webcal feed URLs or Google Calendar OAuth tokens you connect
  • Voice recordings — audio clips you dictate when using Voice-to-Quote or Voice-to-Pre-Quote (Pro AI only)
  • Non-working day preferences and unit preferences (miles/km)

2.2 Information Provided by Customers

Customers do not need an account. No personal information is required to search or view public profiles. If you contact a tradesperson directly (phone, email) that communication happens outside our platform and we do not collect it.

2.3 Automatically Collected Information

When you use our Services, we automatically collect:

  • Device & browser information — device type, operating system, browser type
  • Usage data — pages visited, features used, time spent, search queries entered
  • Log data — IP address, access timestamps, error reports
  • General location — approximate location inferred from IP address (not GPS)

2.4 Information from Third-Party Services

Certain features involve data from external providers:

  • Google Calendar — job titles, dates, and locations from your connected Google Calendar when you enable bidirectional sync
  • ICS / webcal feeds — event data from any calendar feed URL you provide
  • postcodes.io — postcode geolocation data used for search distance calculations (no API key required; no personal data sent)
  • Nominatim — place names used in Featured Listing search (open-source; no personal data sent)
  • Google Routes API — job addresses submitted for route optimisation (Pro AI only)
  • OpenAI Whisper — audio transcription for Voice-to-Quote and Voice-to-Pre-Quote; recordings are sent to OpenAI for transcription (Pro AI only)
  • Anthropic Claude — transcripts, receipt images, and job data sent for AI processing (Pro AI only)

2.5 Payment Information

Subscription payments are handled entirely by Stripe. We do not store your card number, CVV, or full payment details on our servers. Stripe provides us with a customer ID and subscription status. See Stripe's Privacy Policy for details.

2.6 Cookies & Similar Technologies

We use essential cookies and browser localStorage to maintain sessions, remember your preferences (dark/light mode, units), and store your cookie consent choice. We do not use third-party advertising or tracking cookies.

3. How We Use Your Information

We use the information we collect to:

  • Create and manage your tradesperson account and public profile
  • Display your availability calendar to customers in search results
  • Process subscription payments via Stripe and manage your plan
  • Provide job management, quoting, invoicing, and receipt tracking features
  • Sync your calendar with Google Calendar or an external ICS feed
  • Generate AI-powered quotes and pre-quote site visits from voice dictation (Pro AI — via OpenAI Whisper and Anthropic Claude)
  • Extract data from receipt images using AI OCR (Pro AI — via Anthropic Claude)
  • Draft payment-chase emails for overdue jobs (Pro AI — via Anthropic Claude)
  • Provide semantic search across your jobs, receipts, quotes, and invoices (Pro AI — via Anthropic Claude)
  • Optimise multi-job routes using Google Routes API (Pro AI)
  • Manage Featured Listing placements in postcode districts
  • Respond to support requests and communicate service updates
  • Detect and prevent fraud, abuse, and security incidents
  • Analyse aggregated usage patterns to improve the Services
  • Comply with applicable legal obligations

4. How We Share Your Information

4.1 Public Profile Information

Your tradesperson profile — name, trade type, location, postcode, bio, contact details, Checkatrade/Trustatrader links, and availability calendar — is publicly visible to anyone who uses the customer search. You control this information via your Profile settings. Toggling "Pause Listing" hides your calendar from public view while keeping your account intact.

4.2 Service Providers

We share data with the following third-party providers who process it only on our behalf:

  • Supabase — database hosting, authentication, file storage (receipt images), and real-time services
  • Stripe — subscription billing and payment processing
  • Anthropic — Bizzy Day AI processing for Pro AI features (voice-to-quote, voice-to-pre-quote, OCR, debt chasing, semantic search)
  • OpenAI — Whisper audio transcription for Voice-to-Quote and Voice-to-Pre-Quote (Pro AI)
  • Google — Calendar API for bidirectional sync; Routes API for route optimisation
  • postcodes.io / Nominatim — postcode and place name lookups (no personal data transmitted)

4.3 Business Transfers

If Bizzy Day is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.

4.4 Legal Requirements

We may disclose your information if required by law, court order, or governmental request, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

4.5 With Your Consent

We will share your information with third parties only when you give us explicit consent beyond what is described above.

5. Your Privacy Controls

5.1 Profile Visibility

You control what appears on your public profile. You can edit or remove your name, bio, contact details, photo, and external review links at any time via the Profile screen.

5.2 Pause Listing

Toggling "Pause Listing" in Settings hides your calendar from customers and replaces it with an "Currently unavailable" banner. Your profile data is preserved and you can reactivate at any time.

5.3 Calendar Integrations

You can disconnect your Google Calendar OAuth or remove your webcal URL at any time from the External Calendars screen. Revoking Google access removes our ability to sync with your Google Calendar but does not delete previously imported jobs.

5.4 AI Features

Pro AI features (Voice-to-Quote, Voice-to-Pre-Quote, Receipt OCR, Debt Chasing, Smart Search) only send data to Anthropic or OpenAI when you explicitly trigger them. You can use the app fully without ever using these features.

5.5 Account Deletion

You can delete your account from the Settings screen. This permanently removes your profile, jobs, receipts, quotes, invoices, and associated data within 30 days. Backups may retain data for up to 90 days for security and legal compliance.

5.6 Cookie Preferences

You can withdraw your cookie consent at any time by clearing your browser's localStorage for bizzy.day. Note that some essential cookies are required for the app to function.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Services. Specifically:

  • Active account data is retained for the lifetime of your account
  • On account deletion, personal data is permanently deleted within 30 days
  • Encrypted backups may retain data for up to 90 days for security and compliance purposes
  • Stripe retains payment and billing records for up to 7 years as required by financial regulations
  • Anonymised, aggregated usage statistics may be retained indefinitely for service improvement

7. Data Security

We implement appropriate technical and organisational measures to protect your information, including:

  • Encryption of data in transit using HTTPS/TLS
  • Encryption of sensitive data at rest within Supabase
  • Row Level Security (RLS) policies so each tradesperson can only access their own data
  • Secure authentication with encrypted password storage via Supabase Auth
  • Private storage buckets for receipt images — access requires a short-lived signed URL
  • Edge Function authentication using service-role keys that are never exposed to clients
  • Regular security updates and dependency management

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security. Please use a strong, unique password and keep your account credentials private.

8. Children's Privacy

Bizzy Day is a business tool intended for adults. Our Services are not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

9. International Data Transfers

Bizzy Day is primarily a UK service. However, some of our service providers — including Supabase, Stripe, Anthropic, and OpenAI — process data in the United States and other countries outside the UK and EEA.

Where data is transferred internationally, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions to ensure your data is protected to a standard equivalent to UK law.

10. Your Rights

Regardless of where you are located, you may:

  • Access — request a copy of the personal information we hold about you
  • Correction — request that inaccurate or incomplete information is corrected
  • Deletion — request deletion of your personal information (see Section 5.5)
  • Portability — request your data in a structured, machine-readable format
  • Objection — object to certain types of processing
  • Restriction — request that we restrict processing in certain circumstances
  • Withdraw consent — where processing is based on your consent, withdraw it at any time

11. UK & European Privacy Rights (UK GDPR / GDPR)

If you are located in the United Kingdom or European Economic Area, the UK GDPR and/or EU GDPR applies to our processing of your personal data.

Legal bases for processing

We process your data on the following legal bases:

  • Contract — processing necessary to provide the Services you have subscribed to
  • Legitimate interests — analytics, fraud prevention, and service improvement
  • Consent — optional features such as cookie preferences and AI processing of voice/image data
  • Legal obligation — financial record-keeping and responding to lawful requests

Your GDPR rights

In addition to the rights in Section 10, you have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk, or with your local supervisory authority if you are in the EEA.

12. Third-Party Links & Services

Our platform displays links to third-party services including Checkatrade, Trustatrader, Google Calendar, and others. We are not responsible for the privacy practices of these services. We encourage you to read their privacy policies before providing any personal information.

When you connect Google Calendar, you are also subject to Google's Privacy Policy and Terms of Service.

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you via the app or email.

Your continued use of our Services after changes are posted constitutes your acceptance of the updated policy.
